Why manual research fails

Every territory change is a sales conversation. Most reps find out a month late.

You're pasting NPI rows into spreadsheets, cross-referencing state board PDFs, and finding out about the new associate three months after they started. The relationship has shifted before the research is done.

Without ProviderSignal

You find changes after competitors do

  • ×Manually scraping state board websites for new associates and ownership changes, one practice at a time
  • ×No way to tell an independent practice from a DSO location without a phone call
  • ×Provider moves, practice expansions, and DSO acquisitions discovered three months late
  • ×License expirations noticed after they already lapsed
  • ×Every new territory is a new spreadsheet from scratch

Workflow

Pick your territory. See every change. Same week.

Static practice lists are commodity. Every CRM has one. We find the change. You make the call.

01

Map your territory

Pick the states and metros that cover your territory. The dashboard re-scopes the second you do: every map, search, trigger feed, and weekly digest now respects the same coverage.

02

Catch the change

The weekly digest email lands in your inbox each Monday with six movement tiles: new associates, new practices, new locations, specialist arrivals, DSO acquisitions, plus the top calls worth making that week. Filtered to your territory before send.

03

Make the call

One-page PDF brief per account. Status pills surface the moments worth a call: coverage gap risk, retire-age estimate, anesthesia capability, group versus DSO. Walk in with the brief, not a name on a list.

The workbench

Everything you'd build yourself. Given six months and a data team.

Eight data sources merged on NPI. Fifteen trigger signals refreshed weekly. One workbench for territory mapping, change detection, and call prep.

Core

Territory trigger feed

Eight trigger types refresh weekly: new associates, new practices, new locations, provider moves, ownership transitions, DSO acquisitions, license renewals coming due, and provider departures. Each row is a specific reason to call a specific practice this week.

Three trigger feed rows showing recent new-location events for North Texas Orthodontics, Lakehaven Dental, and Purify Dental of Sherman with addresses and open-profile links.

Territory directory

Filter 273,000+ dental providers by specialty, license condition, graduation year, solo status, practice size, and DSO membership. Each row carries NPI, contact, practice attribution, license intel, and any active triggers.

Twelve-row provider directory table showing name plus NPI, phone, city/state, practice size, DSO label, practice attribution, specialty, trigger pill (license lapsed / expiring soon), and status pill (Active / Expired) for Houston-area dentists. Surface demonstrates per-row trigger detection.

Practice scoring

Six-factor weighted score with the per-factor breakdown surfaced on every practice. Solo/Independent (25%), Retirement Risk (20%), Practice Vintage (15%), Practice Size (15%), License Status (15%), Discipline History (10%). The breakdown shows where each point came from, so a 75 isn't a black box.

Score breakdown card showing six weighted factors (Solo/Independent 25%, Practice Vintage 15%, Retirement Risk 20%, Practice Size 15%, Discipline History 10%, License Status 15%) with per-factor scores in green totaling 75.

Territory map

Two lenses on one map. Sales Lens for daily rep work: providers, density, trigger feed, license renewals, new providers, DSO penetration. Acquisition Lens for buy-side: market whitespace, HPSA shortage, Medicare volume. Click any pin for the full record.

DFW territory map view with Medicare biller, HPSA, and whitespace overlays toggled on, a provider popup for an oral surgeon in Fort Worth, and a map controls panel showing Sales Lens and Acquisition Lens toggles.

License & market alerts

Diff on every state board file. License-status transitions (active, expired, retired, suspended, revoked) propagate within 24 hours. Quarterly Medicaid rate shifts and discipline events surface as soon as the state publishes.

Three status-change alert rows: Mustafa Sodi license moved from Expired to Active in Fulshear, Evan Edwards Expired to Active in San Antonio, David O'Hara Expired to Retired in Lubbock, each dated May 14-15, 2026.

Market Intelligence Brief

Ten-section PDF brief for any state, metro, or ZIP. KPI tiles, specialty distribution, competitive landscape, opportunity analysis, acquisition targets, Medicare cohort, provider movement, reimbursement context, demographics, and NPDB risk.

In the app

Three surfaces. One territory.

Map your coverage, open any practice, watch every change. Same provider IDs, same DSO classification, same trigger feed across all three views. No toggling between tabs to reconcile data. One unified layer for the rep, the team, and the manager.

Map view

See your territory before you drive it.

Every dental provider plotted on one canvas. A Sales Lens for daily rep work (trigger feed, license renewals, new providers, DSO penetration), an Acquisition Lens for buy-side analysis (market whitespace, HPSA shortage, Medicare volume). Filter the trigger feed by type without leaving the map; click any pin for a ZIP-level popup with trigger count plus the practice name.

  • Sales Lens for daily rep work · Acquisition Lens for buy-side analysis
  • Eight trigger-type chips filter the canvas in place
  • Pin popups jump straight through to the full provider record

Provider record

Open any practice. See everything before the call.

Provider History timeline showing every weekly NPPES and state-board event for this NPI. License intelligence with the named fields a rep actually needs before a call: license number, status, expiration, age estimate, dental school, graduation year, anesthesia permits, discipline. Mark-this-provider chips push out-of-territory or wrong-contact flags into your CRM. Reimbursement rates pre-loaded from the state fee schedule.

  • Provider History timeline shows when each change fired and why
  • License intel: number, status, age estimate, dental school, grad year
  • Mark-as-customer or out-of-territory chips for CRM sync

Trigger feed

Every change in your territory, the morning after it fires.

New associates, DSO acquisitions, providers moving practices, new location openings, license renewals coming due, provider departures. Each row is a specific reason to call a specific practice this week. Filter by window (7, 30, 60, or 90 days) or by trigger type, and switch between LIST and MAP without losing your filter.

  • Eight trigger types from the weekly NPPES delta + state-board ingests
  • Window filter (7d / 30d / 60d / 90d) plus trigger-type chips
  • LIST or MAP view, both filterable; one-click CSV export

FAQ

Frequently asked questions

How soon will I see my first territory triggers?+
The moment you finish onboarding, your dashboard loads with every change in your territory from the last 7 days: new associates added, ownership transitions, DSO acquisitions, license renewals approaching, providers who moved practices. Reps see their trigger feed in the first 60 seconds. DSO biz-dev teams and brokers see the same view, scored and ranked by buy-readiness. The data is in front of you immediately; how fast you act on it depends on your outreach process.
How is this different from ZoomInfo, Apollo, or LinkedIn Sales Navigator?+
Generic B2B tools have firmographic data on companies but no dental-specific signals. They don't know which practices are DSO-affiliated (Heartland vs. independent vs. Aspen), which dentists are newly credentialed, which practices just added an associate, or which ones just opened a second location. ProviderSignal pulls from NPPES, 41 state dental boards, OIG LEIE federal exclusions, NPDB malpractice aggregates, and CMS Medicare Part B claims, refreshed weekly. Use a generic B2B tool for company contacts; use ProviderSignal for the dental industry signals that drive your next call.
How is this different from free NPI lookup tools?+
Free NPI lookup tools show basic registration data: name, address, taxonomy. ProviderSignal goes seven layers deeper: license intelligence (status, expiration, graduation year, practice type), disciplinary history, 11 years of Medicare Part B utilization, state Medicaid reimbursement rates, NPDB malpractice aggregates, HPSA shortage overlays, and Census demographics. It's the difference between a phone book and a Bloomberg terminal.
Which states are covered?+
Every dental provider in America is in the platform via NPI data: all 50 states, 273,623 providers. Deep license enrichment (status, expiration, disciplinary history, graduation year, practice type, anesthesia and sedation permits) is currently live for 40 states + DC. The remaining states still surface every NPI, and we're shipping new state ingest pipelines on a rolling cadence. See the Data Sources page for the per-state coverage matrix.
Where does the data come from?+
All data comes from public federal and state sources: NPPES (national provider registry), 41 state dental boards (including DC), CMS Medicare Part B utilization (11 years per NPI), state Medicaid fee schedules, NPDB malpractice aggregates, HRSA dental-shortage designations across all 50 states, DC, and US territories, and Census demographics. Grant and contract opportunities come from Grants.gov and SAM.gov. No scraping, no third-party resellers.
How often is data refreshed?+
Different sources update at different cadences. The NPI registry rebuilds weekly from the CMS NPPES bulk file. State dental boards refresh weekly (Texas and Florida daily). State Medicaid fee schedules update quarterly when states publish new rates. Medicare Part B utilization lands annually when CMS releases the prior year. License-event alerts fire within 24 hours of any status change in your territory.
What's the ROI vs my current tools?+
Finding territory changes today means manual work across NPI lookups, state board websites, CMS data, and broker networks. ProviderSignal does that work weekly and automatically, so your time goes to outreach instead of data entry. Math by buyer: a supplier rep ($149/mo Rep tier) clears the year on one extra equipment demo or two consumables wins. A specialty implant rep clears it 300x over on one new prescriber (LTV $50K to $200K). A DSO biz-dev team ($499/mo Team tier) clears it on one closed acquisition (avg $500K+).
Will my manager see my activity, or is my account private?+
On Rep tier, your account is yours. No manager visibility, no shared pipeline. If your team wants shared territories, pooled trigger feeds, and a manager rollup view, that's the Team tier ($499/mo for 5 seats included, $79/seat over 5). Reps still have their own assigned territories on Team; the manager just sees rollups of team-wide trigger volume, coverage, and saved pipeline. Enterprise adds SSO, custom territories, and white-label.
Can I try it before committing?+
Yes. Every dashboard plan includes a 7-day free trial with full view and search access. A payment method is required at signup (via Stripe) to prevent abuse, but you won't be charged if you cancel before day 7. Trial accounts are capped at 25 CSV export rows and one Market Brief PDF to prevent extraction abuse. Every other feature is live and usable.
What happens when my trial ends?+
If you haven't canceled by day 7, your selected plan begins auto-billing at the rate shown at signup. You can upgrade, downgrade, or cancel anytime from Settings → Billing. Canceling stops the next charge immediately and keeps your access live through the end of the paid period.
Do you offer API access?+
Yes. API access is included with the Team and Enterprise dashboard plans (200 req/min on Team, 1,000 req/min on Enterprise), or as a standalone product with two API-only tiers: API Starter ($99/mo, 60 req/min) and API Pro ($299/mo, 500 req/min). All API plans include provider search, license events, and reimbursement rate endpoints. Practice scoring, whitespace analysis, and webhooks are API Pro only. Full docs at /api-docs.
